A school fee slip tells a parent what is owed, for which student, and by when. Schools issue one per student per billing cycle and keep the counterfoil as proof of payment.
Below are 10 free templates in MS Word format. Every field — student name, class, roll number, fee heads, due date and late penalty — is editable. Pick the layout that matches how your school bills, fill the header once, and print.
1. Simple Monthly Fee Slip

One student, one month, one amount. The plainest option, and the right one if you bill a flat monthly fee with no separate heads. Two slips fit on a single A4 sheet.

2. Fee Slip with Late Penalty Column

Adds a “payable after due date” row beneath the total, so parents see both figures before they decide to delay payment. Use this one if late submission is a recurring problem at your institute.

3. Fee Slip with Head-wise Breakdown

Separate lines for tuition, transport, examination, library and miscellaneous charges, with a subtotal for each. Best for schools that bill several components and field questions about what each charge covers.

4. Two-Part Slip (Office Copy and Parent Copy)

Two identical halves divided by a cutting line. The clerk keeps the left half, the parent keeps the right. This is the standard format for schools collecting cash at a counter.

5. Fee Slip with Total Calculation Row

An itemised layout with a clear total row at the foot of the table. Useful when the fee changes month to month and the parent needs to see how the figure was reached.

6. Fee Slip with Admission and Roll Number

Carries both identifiers plus section and academic year. Use this version when your records are keyed on admission number rather than roll number.

7. Fee Challan for Bank Payment

A challan layout with space for bank name, branch, account number and a teller stamp. For schools that take payment through a bank rather than at the school office. When you bank the collected fees afterwards, you will also need a deposit slip to accompany the cash.

8. Blank Fee Slip for Bulk Printing

Header and field labels only, with the amounts left empty for handwriting. Print a few hundred at a time and fill them in as parents arrive at the counter.

9. Annual Fee Slip with Term Breakdown

Three terms down the page with a due date and amount against each, plus a running balance. Issued once at the start of the academic year rather than monthly. If you let families clear a large annual fee in instalments, a loan payment slip records each instalment against the outstanding balance.

Issued after payment rather than before it. Includes amount received, mode of payment, receipt number, and space for an authorised signature and the school stamp.

What to Include on a School Fee Slip
Six fields make a slip usable as a record. Leave any of them out and you will be reconstructing payment history from memory later.
- Student identity — name, class, section, and roll or admission number. Name alone is not enough, because schools always have duplicates. Copy these details straight from the admission slip issued when the student joined, so the two records never disagree.
- Billing period — the month, term or year the slip covers, stated explicitly. A slip with no period on it is useless three months later.
- Fee heads and amounts — each charge on its own line, with a total at the foot.
- Due date — and the penalty amount that applies if payment comes after it.
- Previous balance — any arrears carried forward, shown separately from the current charge.
- Receipt number and signature — a sequential number and space for a stamp, so the parent’s copy can be verified against your records.
How to Fill a Fee Slip Template in Word
- Open the downloaded .docx file in Microsoft Word, Google Docs or LibreOffice Writer.
- Replace the placeholder school name and address in the header with your own, then insert your logo in the space on the left.
- Edit the fee head labels in the first column of the table to match how your school bills. Delete any rows you do not use.
- Set the due date and the late fee amount in the row beneath the total.
- Save this version as your master template, then use File → Save As for each student so the master stays clean.
- Print on A4. Two slips fit per sheet on templates 1, 2 and 6 — set your printer to two pages per sheet to halve your paper use.
Benefits of Using a School Fee Slip
It Tracks Payments for Both Sides
Parents rarely have time to visit the school office to check a balance. A fee slip gives them a written record of every payment made, and gives the school a matching counterfoil. If the school ledger and the parent’s copy disagree, the stamped slip settles it.
It Serves as Proof of Payment
Where fees are sent to school with a child rather than paid in person, the stamped slip is the only evidence the money arrived. Always ask for the school stamp on the parent’s copy.
It Keeps the School’s Accounts Straight
Collected slips form a running record of who has paid and who has not. At the end of a term the stack reconciles directly against the balance sheet, which is far faster than chasing individual families. Fee income on one side and staff salary slips on the other give you both halves of the month’s accounts in the same place.
It Helps Parents Budget
Families with several children at the same school struggle to track what has been paid against which child. A slip per student per month makes that straightforward.
Frequently Asked Questions
Is a fee slip the same as a fee receipt?
No. A fee slip is issued before payment and states what is owed. A receipt is issued after payment and confirms what was received. Template 10 above is a receipt; the other nine are slips.
Can I edit these templates in Google Docs?
Yes. Upload the .docx file to Google Drive, right-click it and choose Open with → Google Docs. The table formatting carries over without changes.
Are these templates free for commercial use?
Yes. You can use them in a private school, a tuition centre or a coaching institute at no charge, and add your own branding. You cannot resell the template files themselves.
What paper size are they set to?
A4 by default. For US Letter, open Page Setup and change the paper size; the table widths adjust automatically.
How do I number fee slips sequentially?
Use Mailings → Start Mail Merge in Word with a numbered list as the data source. For bulk-printed blank slips, write the numbers by hand or stamp them.
Can I use these for a tuition centre rather than a school?
Yes. Templates 1, 2 and 5 suit tuition and coaching centres best. Change “Class” to “Batch” or “Course” in the student identity row.
